Family Description & Location
A British professional couple are seeking an organised, proactive and highly capable Private Assistant / House Manager to oversee the smooth day-to-day running of their large private estate on the outskirts of York, approximately 3 miles from the city centre.

The property comprises a substantial manor house with extensive gardens and holiday cottages within the grounds. The successful candidate will be responsible for managing the operations of the residence, supporting the principals with PA duties, and coordinating household projects, contractors and staff.

This is a varied and hands-on role suited to someone who enjoys both estate management and private PA support within a busy but welcoming private household environment. The household already employs a Housekeeper and Gardener whom you will help coordinate and manage.
The family also have two friendly dogs — a Cavapoochon and a Maltipoo — together with two cats, therefore someone genuinely pet friendly is essential.

Job Description
• Overseeing the smooth day-to-day running of the estate and ensuring the property is maintained to a high standard
• Managing and coordinating the Housekeeper and Gardener and liaising with external contractors and suppliers
• Obtaining quotes for household works, repairs and improvement projects and overseeing works on behalf of the principals
• Managing maintenance schedules, repairs and preventative works through an ongoing programme of maintenance
• Dealing with tradespeople, contractors and service providers and ensuring works are completed efficiently and to a high standard
• Liaising with the holiday cottage management company and assisting with the smooth operation of the holiday lets
• Managing invoicing platforms, processing invoices and assisting with household and property administration
• Managing household inventory, supplies and general household administration
• Assisting with household budgeting, expenditure tracking and reporting to the principals
• Providing executive-level PA support including diary management, travel arrangements, bookings and personal administration
• Assisting with occasional social media and correspondence tasks for the principals
• Running errands and handling ad hoc requests as required
• Assisting with recruitment and interviewing of household staff when required
• Taking a flexible, proactive and solutions-focused approach to the role

Candidate Requirements
• Exceptionally organised, proactive and able to manage multiple projects simultaneously
• Previous experience within a private household, estate management, hotel or hospitality background preferred
• Excellent communication and interpersonal skills
• Strong administrative and reporting skills with excellent attention to detail
• Confident liaising with contractors, suppliers and household staff
• Experience using invoicing, booking or property management platforms would be highly advantageous
• Able to prepare spreadsheets, reports and budgets to a high standard
• Strong IT skills including Microsoft Office and Excel
• Professional, discreet and highly trustworthy
• Flexible and adaptable with a positive attitude
• Pet friendly and comfortable around dogs and cats
• Clean UK driving licence and own car essential due to the location
